Executive Assistant to the Dean of Students

FlexStaff is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the Dean of Students, for their client, a higher education institution.

This position plays a vital role in the smooth functioning of the Dean of Students office, requiring exceptional communication skills, discretion, and the ability to manage multiple priorities effectively.

RESPONSIBILITIES:

  • Manage the Dean's complex calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
  • Screen and direct phone calls, emails, and visitors, exercising sound judgment and maintaining confidentiality.
  • Coordinate and manage logistics for events and meetings
  • Maintain accurate records and filing systems, both physical and electronic.
  • Process expense reports and invoices.
  • Conduct research and gather information as requested by the Dean.
  • Collaborate effectively with other departments and staff members.
  • Anticipate the Dean's needs and proactively address them.
  • Other duties as assigned.

QUALIFICATIONS:

  • Bachelor's degree preferred or equivalent combination of education and experience.
  • Minimum of 5 years of experience providing executive-level administrative support.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite as well as EPRO/Micromane/Egencia and adept at learning new software programs
  • Demonstrated ability to handle confidential information with discretion.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Ability to prioritize and manage multiple tasks simultaneously in a fast-paced environment.
  • Experience in higher education setting preferred.
